Refund Policy

This Refund Policy explains when refunds apply to fees paid to Plenitude Systems Private Limited ("Plenitude Studios") for services. It forms part of, and should be read with, our Terms of Service and the Statement of Work ("SOW") signed for your engagement. Where the SOW expressly states different refund terms, the SOW prevails.

1. General principle

Our services are bespoke and labour-intensive. From the moment a project commences, our team is committed to it and unable to take on equivalent work elsewhere. Refunds are therefore limited to the specific circumstances set out below.

2. Discovery calls and quotes

Initial discovery calls and written quotes are free of charge. No payment is collected at this stage and no refund question arises.

3. Website Building (fixed-price)

  • Before kickoff — If you cancel after paying the upfront amount but before the project kickoff call has taken place, you are entitled to a full refund less any non-refundable third-party costs we have already committed on your behalf in writing.
  • Within 7 days of kickoff — If you cancel within 7 calendar days of the kickoff call and we have not yet delivered Milestone 1, you are entitled to a refund of 50% of the upfront amount, in recognition of the discovery and design work already performed.
  • After Milestone 1 delivery — No refund is available. You retain all rights in the work delivered up to that point, subject to payment of any outstanding invoice.

4. App Building (custom-quoted)

App Building engagements are scoped and priced individually. Refund terms are set out in the SOW for your specific project, applying the same principle: full refund before kickoff, partial refund before the first milestone, no refund thereafter. The SOW will state the milestone schedule and the corresponding refund position at each stage.

5. Digital Marketing (monthly retainer)

  • Monthly fees are payable in advance and cover work performed during that month.
  • Completed months are non-refundable.
  • You may cancel at any time by giving at least 7 days' written notice before the next billing date. The next month will not be billed.
  • The minimum engagement period stated in your SOW (typically 3 months) applies. Cancellation within the minimum period requires payment of the remaining months unless we agree otherwise in writing.

6. Third-party costs

Any third-party costs paid by us on your behalf — for example, domain registrations, hosting, paid plugins, stock assets, premium fonts, app store fees, ad spend, or licensed APIs — are non-refundable once incurred, regardless of when you cancel.

7. Refunds for non-delivery or material failure

If we materially fail to deliver the services described in your SOW and do not remedy the failure within 15 days of written notice from you, you may terminate the engagement and receive a refund of fees paid in respect of services not yet delivered. This is your exclusive remedy in respect of such failure, subject to the limitations in our Terms of Service.

8. How to request a refund

  1. Email legal@plenitude.in from the address associated with your account, stating the reason for the refund request and the invoice number.
  2. We will acknowledge within 48 hours and request any additional information needed to verify the request.
  3. Approved refunds will be processed to the original payment method within 10 business days of approval.
  4. Refunds are made in Indian Rupees. Currency conversion losses on cross-border refunds (where applicable) are borne by the Client.

9. Disputes

If you are not satisfied with our refund decision, please first contact our Grievance Officer at legal@plenitude.in. Unresolved disputes are handled in accordance with the Dispute Resolution clause of our Terms of Service.

10. Changes to this policy

We may update this Refund Policy from time to time. Engagements in progress continue to be governed by the policy in force when the SOW was signed unless the parties agree otherwise in writing.
